The Paperless Office a Step Closer Thanks to RLS Mobile

All modern Office Service businesses have a substantial mobile workforce, which until now could not access up to the minute client information data while on route. RLS can now link your mobile workforce to your front and back office via RLS Mobile, a condensed pocket version of RLS Enterprise, the Award Winning software solution tailor-made for the Office Services Business. This benefits your business in the following ways

  • Your entire workforce from Tele-Marketing to Customer Services and from Logistics to Accounts can now provide the enhanced service your clients deserve.
  • Secure an electronically captured Signed Proof of Delivery which can be e-mailed to a client at the touch of a button in the event of a delivery dispute
  • Save and send all invoices in electronic format via PDF files which can be attached to the relevant client file and called up by any user at the mere touch of a button.
  • No more postage costs or Document Handling/Processing charges.
  • RLS Mobile will ensure that your office is virtually paperless and all important client data can be saved electronically on our advanced, windows native multi-lingual Hand Held devices which are regularly synchronised by our near line or on-line solutions.

How Much Time and Money Can RLS Mobile Save Your Company?

A fact which is very often overlooked in the modern day Office Services business is that the product which distributors produce and supply more of than any other commodity to its ever-expanding client list is infact Paper. Some of this Paper has to be posted to the client at a considerable cost and all of it will need to be filled and stored. Delivery notes will need to be signed, scanned and uploaded to hard drive consuming a considerable amount of your employee’s time and more importantly company’s resources and cash flow.

To demonstrate just how much your company is spending on paper take the following example of a small/medium sized expanding bottled water cooler distributor with
  • 1000 clients
  • All clients are delivered water every two weeks
  • All coolers receive a full sanitisation every three months. While many companies send multiple invoices to each client monthly we will base our example on a single invoice per customer per month.

The distributor therefore must produce per client per year
  • 30 delivery notes
  • 12 invoices

This amounts to an annual total of 30,000 delivery notes and 12,000 invoices, assuming that no client disputed a delivery, requested a second copy of an invoice or needed a letter of reminder before finally settling his account.

We also need to bear in mind that the average cost to process paper delivery notes, invoices etc. is in excess of 50 cent per comodity delivered.

If We Convert These Figures to a Medium Sized Bottled Water Cooler Distributor with a 5000 client base we note the following:

  • 5000 clients serviced
  • Each client receives 30 delivery notes and 12 invoices per year

  • Distributor produces 150,000 delivery notes per year
  • Distributor produces 60,000 invoices per year
  • Based on average water consumption of 3.5 bottles per client per month the distributor will deliver 17,500 bottles per month or 210,000 bottles per year

  • Based on a Handling/Processing cost of 0.50 cents per bottle. This equates to a cost saving of €105,000 per year.

  • If the distributor sends invoices to clients electronically rather than by post this equates to a cost saving of a further €360,000 at 0.50 cent per stamp (not to mention the saving in paper costs).

    4 RLS Map Plan

MapPlan, RLS’s new E-Mapping module is a roadmap based vehicle routing solution which will automatically Geo-Locate all clients and prospects stored on your data base as well as calculate your most efficient delivery routes. Now you can plan your routes electronically with optimum precision. MapPoint will determine which of your vehicles can best deliver each customer location and automatically evaluate the best stop sequence to accommodate your customers’ time windows while minimizing your drivers travel time.

The processing speed is less than 10 minutes for over 500 orders a day. New drivers are given very precise street information and are thus required to rely much less on individual skills. This greatly increases the number of deliveries per vehicle and reduces the total distance travelled by each driver. In addition the load rate of each vehicle can be increased due to faster route planning and scheduling.

Whether the application is for 1 or 5000+ vehicles, RLS MapPlan is designed to increase the efficiency of your delivery routes and the productivity of your fleet.
